AI Policy Generator

The AI Policy Generator is a free tool from Managed247 for IT and technology leaders. Decide which AI tools your organisation may use (ChatGPT, Claude, Microsoft 365 Copilot, Gemini and dozens more), who may use them and with what data, then download a complete AI acceptable use and governance policy as a branded PDF and an editable Word document your HR team can adopt as its own.

Fill in your details Click Start and we send a one-time link to your work email. Click the link and the generator unlocks. Personal inboxes (Gmail, Hotmail and so on) are not accepted.
Answer the questions Choose a posture, set each AI tool to a status, decide the data rules and switch on the sections you need. Sensible defaults are already in place, so most leaders finish in about ten minutes. Approved Conditional Not approved Under review

This is a preview. Fill in Your details above and click Start to verify your work email. Every question then unlocks, ready to turn into your organisation’s AI policy as a PDF and a Word document.

The organisation the policy belongs to, who owns it and when it takes effect. We prefill what we can from your details.

Pick the stance that fits your organisation. It sets every default below (tool statuses, data rules, use cases and the specialist sections), and you can still change anything afterwards.

Set a status for each tool, the licence tier that is acceptable and who may use it. Not every tool needs to be in use today: a clear Not approved is as valuable to staff as an Approved. Add your own tools at the foot of each group.

For each class of information, decide which tools it may be used with. Any approved tool, enterprise tools only (a business licence whose contract prevents training on your data) or never.
